Location:   The Gaylord Opryland Hotel is located on the banks of the Cumberland River, just minutes from Nashville International Airport and a short drive or riverboat cruise from downtown Nashville. The Gaylord Opryland offers more than any other Nashville hotel, with nine acres of indoor gardens, cascading waterfalls and an indoor river with its own Delta flatboat. Within this lush landscape, you'll discover fine dining and casual restaurants, unique shopping experiences, and a 20,000-square-foot spa and fitness center. And for late-night excitement, check out the latest entertainment adventure, FUSE Nightclub. Every room features high-speed wireless Internet access and two phones, including one cordless.

Hotel Reservations:  Reservations may be made by calling 1-615-883-2211.  Identify yourself as an attendee at the Civic Education Conference or use group code X-CFPP9.  Please make reservations as soon as possible as the conference rate will only be available until 30 days before the meeting begins.  Room rates for the Conference are $159 a night. Please make reservations early.

Travel Visa: Non-US residents must obtain a Non-immigrant Visa an American Consulate or Embassy in your country of citizenship.  Invitation letters will be provided to all non-US resident presenters upon acceptance of proposals.  If you wish to attend the conference and not presenting please complete a request form and we will provide you with a letter of invitation.

Conference Registration:  Conference registration includes admittance to all sessions and two breakfasts, two lunches and breaks. See the PDF Registration form for actual prices. Registration fees are discounted by $100.00 if the attendee is a registered guest at the official conference hotel during the meeting.  If you live within 50 miles of the conference location, you get the same registration rates as if you stayed in the hotel. Late registration rates apply for payments sent after 12/1. Please be advised that a strict no refund policy will be observed.

Safety in the City: Nashville is a very family friendly city, but please exercise caution, just as in any other big city.  A few simple precautions include removing your badge outside the conference site.  Keep all valuables out of sight:  don’t display expensive jewelry, cameras, bags, and other items that might draw attention.  Avoid pickpockets:  wallets should be kept in front pockets and purses wore across the shoulder. Better still, wear a money pouch underneath your clothing. Always lock your car.

The Centre for Policy and Practice is an independent, non-partisan organization that supports research and its application to real world questions. The Director of the Centre is William Morgan. He has run several civic education programs and conducts research on the impacts of civic education. He received the Points of Light Award from the Points of Light Foundation, was recognized by the Fund for Social Entrepreneurs at Youth Serve America and was named a Fellow at the John Glenn Institute for service-learning research.

 

Audio Video Equipment at the Conference

Overhead Projectors. Each meeting room will be equipped with an overhead projector and screen. If you are planning on using transparencies, then you won't need to worry about any technology challenges.

LCD Projectors. In addition, all meeting rooms will have a Dell 3300mp LCD projector available there. No notebook computers are provided, however. Be sure you are familiar with how your computer works and how to do a PowerPoint presentation if you choose to do this.

Other AV Equipment. Additional AV equipment is available for a fee directly from the hotel.

 

Instructions for Participation

Submitting a proposal. All proposals should be submitted using the on-line web based system. There is a separate form to submit a paper proposal, submit an entire panel, or offer to serve as a discussant or chair. If you have problems using the system, please contact our office civicedconf@gmail.com

Policy on Participation.  In order to encourage broad participation at the conferences, it is our policy that participants may not appear on more than two panel or roundtables (see below for definitions). This can include presenting a paper, serving as a discussant/chair, or serving on a panel discussion.

The Centre reserves the right to accept or reject any proposal received from an individual or individuals requesting participation in the annual conference.  Reasons for rejection of proposals may include, but are not limited to:  topics not fitting into the program theme or panel subjects, insufficient space on the program, failure to meet professional obligations in prior conferences (e.g., not completing a paper, not delivering a paper on time, failure to show for a scheduled appearance), failure to register for a conference, or unprofessional conduct.

Any communication regarding acceptance prior to the printing of the Program should not be construed as conferring a right to participation in the annual conference.  We reserve the right to change any aspect of the program (e.g., schedule, panel title) following printing and dissemination. 

Distribution of Papers.  Please email copies of your papers to the people who are on your panel. If you are on a roundtable, you do not need to send your paper in advance. You can find a list of the email addresses of everyone on the program on the website.

Audio-Visual Equipment.  We will provide overhead projectors and screens to presenters for no charge and all rooms will also be outfitted with Dell 3300mp LCD projectors. If you wish to use the LCD projector, you will need to provide your own notebook computer and should be familiar with doing power point presentation. If you need equipment outside of this, you can either arrange to rent it from the hotel or bring your own.  

 

Participation Instructions

Panel Chairs: The Chair is responsible to introduce each paper and the authors as well as the discussant(s).  In additional, the chair is responsible to manage the time for each presentation and to insure that the discussion is polite and productive.  If no panel chair is present, the author of the first paper should insure that the presentations keep to the allotted time. Sessions are 1 3/4 hours in length, so presenters should plan to present between 10 and 15 minutes depending on the number of presenters on the panel. Discussants should have about fifteen minutes to discuss the papers depending on the total number of papers on the panel.

Panel Discussants: Discussants provide feedback on the panel’s research papers, pointing out both the strengths of the paper and areas of improvement.  They may also try to place the paper in a broader research context and discuss trends and themes.

Paper Presenters: Sessions are 1 3/4 hours in length, so presenters should plan to present between 10 and 15 minutes depending on the number of presenters on the panel.

Workshop Presenters: Workshops meet in the same rooms and times as the panels, and will run 1 3/4 hours in length. Workshops should be interactive and experiential. Overhead projectors and LCD projectors are available in the meeting rooms.

 

Explanation of Program and Session Formats

Panel.  Provide each author an opportunity to present an abbreviated version of his or her paper.  A critique or discussion may follow each paper, or the papers may be critiqued to discussion as a group.  Having four or five papers assigned to a session allows approximately 5 minutes for the chair to introduce the session, 10 minutes per author presentation, 20 minutes of critique, and 15 minutes of discussion.

Panel Discussions.  Different in that presenters and discussants do not prepare papers.  They make brief introductory remarks before engaging in ad hoc give and take for which they may have prepared themselves but which cannot be predicted or entirely controlled.  Two types of Panel Discussions are PBS format and Town Meeting.

Workshops: Workshops meet in the same rooms and times as the panels, and will run 1 3/4 hours in length. Workshops should be interactive and experiential. Overhead projectors and LCD projectors are available in the meeting rooms.
